What this needs to do
Bring together data from MongoDB (users), your CRM (subscriptions and billing), and CleverTap (engagement) into one system. That system should answer real business questions, like plan performance, drop-off, retention, and content engagement, and automatically flag it when renewals or engagement start dropping.

What reporting looks like today
Today you can see New Users, Active Users, Expired Subscriptions, and Renewals, but each number comes from a different tool with no shared view. That covers the basics, but not plan performance, drop-off, content engagement, or channel quality. Answering those today means manually checking MongoDB, the CRM, and CleverTap separately, every time.

Proposed Approach: Two Layers
One static dashboard cannot do both jobs well: answering open-ended questions and catching problems in real time. So we are proposing two separate layers, each built for one job, that both pull from the same data.
Layer 1: Ask-Anything
MCP servers and a dedicated Claude account

Your team can just ask a question in plain English, such as "which subscription plans are performing best" or "where are users dropping off in the journey," and get a live, accurate answer pulled straight from MongoDB and CleverTap. No need to build a new dashboard every time a new question comes up.

Data from all sources is copied into a simple AWS data store, which feeds this layer. Since PlayboxTV already runs on AWS, our current pick for this layer is Amazon QuickSight. It comes with built-in AI that spots unusual activity, it learns what "normal" looks like for each metric, then automatically flags anything odd, like a sudden drop in subscriptions, renewals, engagement, or a spike in churn.
Why two layers, not one dashboard
A dashboard is great for showing numbers you already know to check, but not for answering a question you have not thought to ask, or for watching everything all the time. Splitting these into two layers means you get both flexibility and automatic monitoring, instead of settling for a compromise on either.

The connectors need regular upkeep, updating access credentials, monitoring, and fixing things if MongoDB, CleverTap, or the CRM change their systems. The AWS setup and QuickSight need upkeep too, like checking that data is syncing correctly and alerts stay accurate. This is an ongoing service, not something we hand over and walk away from.

The detailed SOW acts like a PRD for the entire engagement, laying out exact requirements, views, and metrics across all three phases, bounded by what the data and tools involved can actually support. It gets finalized with PlayboxTV before Phase 1 begins, and once locked, cannot be changed directly. Anything new after that is a fresh ask, handled as "outside stated scope," meaning additional time and cost, not a revision within the original timeline or fee.
Timeline Dependencies
This 2-month timeline depends on quick cooperation from PlayboxTV and any third parties involved, especially around the CRM in Phase 3. PlayboxTV is expected to turn around queries, approvals, and access requests within 3 business days to keep this on track. Third-party dependencies, such as vendor API access or approvals, are outside our control and could shift the timeline regardless.
